Privacy Policy

Note for handoff:this is a starting-point template, not legal advice. Have it reviewed by counsel and a HIPAA compliance professional, and confirm it matches Transcounty’s actual data practices — both the billing services described below and this website’s own data collection — before publishing.
Do not submit patient health information through this website. The contact form below is for general business inquiries only. Please do not enter patient names, medical record numbers, diagnoses, or other protected health information (PHI) into this form or any other part of this site.

01Information we collect

To provide medical billing and revenue cycle management services, we handle information on behalf of the healthcare providers we work with. This may include patient demographic information, insurance details, and protected health information (PHI) necessary to submit and resolve claims, as well as business contact information for the practices we serve.

Separately, and distinct from the PHI described above, this websitecollects only what’s needed to respond to a general inquiry: your name, email, phone number (optional), and the message you submit through the contact form. When you first visit, we also store the referring page and any campaign parameters (UTM values) from the URL in your browser’s local storage, so we know how a lead found us — this is not a tracking cookie, and it’s only attached to a submission if you actually submit the contact form. If Google Analytics is enabled on this site, it separately collects standard usage data via its own cookies.

02How we use information

We use the information we collect on behalf of providers solely to perform billing and revenue cycle management services — including coding, claim submission, denial management, appeals, payment posting, and related communication with payers and providers. We use contact form submissions to respond to your inquiry, and attribution/analytics data in aggregate to understand which marketing channels are effective — not to make decisions about any individual visitor. We do not sell personal or health information.

03HIPAA & protected health information

As a business associate to the healthcare providers we serve, we handle protected health information in accordance with the Health Insurance Portability and Accountability Act (HIPAA) and applicable regulations. We maintain administrative, technical, and physical safeguards designed to protect PHI, and we handle it only as permitted under our agreements with providers and the law.

04Data security

We use industry best practices and reasonable security measures intended to protect information against unauthorized access, use, or disclosure. While no method of transmission or storage is completely secure, we are committed to protecting the information entrusted to us.

05Sharing & third parties

We share information only as necessary to perform our services — for example, with insurance payers and clearinghouses to process claims — or as required by law. Contact form submissions on this website may be sent through a third-party email delivery service to reach our inbox. Any vendors who handle information on our behalf are expected to maintain comparable confidentiality and security protections.

06Data retention

We retain information for as long as necessary to provide our services, comply with our legal and contractual obligations, resolve disputes, and maintain accurate records, after which it is securely disposed of. Contact form submissions are kept only as long as needed to respond to your inquiry and for our own business records.

07Your rights

Patients with questions about their own health information should contact their healthcare provider directly, as the provider is the covered entity that controls the record. Providers we work with may contact us regarding the information we handle on their behalf.

Transcounty Associates Inc. is based in California, and this site is governed by California law. If you are a California resident interacting with this website (separate from any patient/provider relationship above), you may have rights to request what information we’ve collected about you and request its deletion. We do not sell personal information. To exercise these rights, contact us at the email below.

08Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the date above. We encourage you to review this page periodically.
